1. Purpose:

The purpose of this Policy is to outline the Planit position and process, for protecting the safety, health and well-being of our employees across New Zealand, Australia, the United Kingdom and India. This policy also links to the Planit Pandemic Business Continuity Plan, to protect and support the ongoing operations of the global Planit business.
 
The World Health Organisation (WHO) announced that the Coronavirus (COVID-19) was classified as a global Pandemic on 11 March 2020. The Centers for Disease Control and Prevention (CDC) informed Governments, Businesses and Communities, that action and prevention of virus transmission would need to be a priority.
 
Further to our Work, Health & Safety policy that outlines the requirement for all employees to be provided with a safe and healthy work environment, Planit have elected to ensure that our response and policy management of COVID-19 is aligned with taking all precautions to protect our employees, whilst enforcing a plan for business continuity.
 
In order to curb the spread of the pandemic disease, Planit will be activating our remote delivery workforce plan, which allows the business to deliver all project bases and service delivery work outside of our usual office locations and client sites. The remote work delivery plan is embedded into the Work from Home Policy, that Planit has an existing and well-established process for delivery and connection.
 
Planit reserve the right to ensure that the Planit Pandemic Management Response policy for protecting our employees and our service delivery, is adhered to across our business and becomes a tool for effective collaboration.
 
The Executive Management Team, in collaboration with the Board, will deliver any variations or amendments to this policy, as the pandemic social conditions change.
 

2. Scope:

This Policy will commence from 1 March 2020 and has been updated on 18 March 2020. It is a specific policy in relation to the Global Pandemic Coronavirus (COVID-19) that has impacted each country that Planit operates within, as a business our global workforce will be mobilised to Work from Home.
 
This Policy applies to all employees of Planit who have been informed and directed to work remotely and to continue with their usual delivery, via collaboration tools provided by the business (eg, Microsoft Teams).  There will be instances, where the agreement with clients is not mutual and binding, so the delivery of remote activity may not be enabled. This will be managed on a case by case basis.
 
This policy is to lead our organisational decisions when it comes to making decisions about our employees, and supersedes the policies of clients, vendors and providers, in relation to Planit employed people. This policy does not form part of any employee’s contract of employment.
 
Planit is committed to responsibly managing employee working from home arrangements and has the technology and management capacity to do this on a global scale. All employees will be contacted via Planit endorsed communication channels: Electronic Messaging in Email, Microsoft Teams Collaboration Tool and by text/call.
 
Planit’s aim is to ensure that risks with working from home are assessed and monitored and it is a prerequisite that all employees have signed off the mandatory Working From Home Policy, Form and loaded a picture of the workstation into Planit Connect, for compliance and safety purposes.
 

3. Guidelines:

Planit will ensure:
  • Procedures are implemented which eliminate or minimise the health and safety risks to employees
  • Procedures are implemented to protect the continuity and service delivery of Planit operations
  • Employees receive suitable information, instruction and training to enable them to work safely at home
